Welcome to Unmatched Coaching LTD. Please read these Terms and Conditions carefully, as they govern your child's participation in all programmes delivered by Unmatched Coaching LTD, including school clubs, holiday camps, breakfast clubs, early years activities and any other services provided by the company.

By making a booking, you confirm that you have read, understood and agree to these Terms and Conditions.

1. General Eligibility

• All programmes are subject to availability.

• Places are allocated on a first-come, first-served basis.

• School-based clubs are only available to children attending the relevant school unless otherwise stated.

• Unmatched Coaching LTD reserves the right to refuse or cancel any booking where eligibility requirements are not met.

2. Booking Process

• Bookings must be completed through our online booking system unless an alternative booking method has been offered.

• A booking is only confirmed once full payment has been received (unless otherwise agreed in writing).

• Parents/Guardians are responsible for ensuring all information provided is accurate, complete and up to date.

• A booking confirmation email will be sent once a place has been successfully secured.

• Unmatched Coaching LTD cannot guarantee a place until payment has cleared.

3. Payment

3.1 Fees

Programme fees vary depending on the activity, duration and location.

All fees are displayed before booking.

3.2 Payment

• Payment must be made using the online booking system unless otherwise agreed.

• Full payment is required before attendance unless agreed otherwise in writing.

• Places remain provisional until payment has been received.

3.3 Late or Non-Payment

If payment is not received by the stated deadline:

• the booking may be cancelled without notice;

• the place may be offered to another child;

• the child will not be permitted to attend;

• Parents/Guardians remain responsible for arranging alternative childcare or collection.

Unmatched Coaching LTD reserves the right to refuse future bookings where outstanding balances remain unpaid.

4. Attendance and Booking Conditions

• Only children with a confirmed booking may attend.

• Children arriving without a confirmed booking will not be signed into the session.

• Responsibility for these children remains with the Parent/Guardian and/or school under the school's normal collection arrangements.

• Parents/Guardians are responsible for ensuring alternative childcare arrangements exist if a booking is cancelled.

5. Cancellations, Credits and Refunds

5.1 Cancellations by Unmatched Coaching LTD

If Unmatched Coaching LTD cancels a session due to circumstances within our reasonable control (for example staff illness where suitable cover cannot be arranged), we will endeavour to provide one of the following:

• a replacement session;

• a credit towards a future booking; or

• a refund where appropriate.

The remedy offered will be determined by Unmatched Coaching LTD.

5.2 School Cancellations and Circumstances Outside Our Control

Many of our programmes operate on school premises and are dependent upon the school allowing access.

Where a session cannot take place due to circumstances outside the reasonable control of Unmatched Coaching LTD, including but not limited to:

• school closures;

• INSET days;

• training days;

• sports days;

• educational visits or school trips;

• performances or productions;

• parents' evenings;

• examinations;

• hall, playground or field closures;

• adverse weather decisions made by the school;

• industrial action;

• emergency school closures;

• safeguarding decisions;

• or any operational decision made by the school,

the missed session shall not be considered a cancellation by Unmatched Coaching LTD.

In these circumstances:

• no cash refund will be issued;

• no partial refund will be payable;

• Unmatched Coaching LTD may, entirely at its discretion, offer a replacement session, programme extension or account credit where reasonably practical;

• Parents/Guardians acknowledge that they are purchasing a place on a programme rather than guaranteeing every individual session will take place.

Unmatched Coaching LTD accepts no responsibility for any costs, inconvenience or alternative childcare arrangements resulting from decisions made by the school.

5.3 Parent Cancellations

Parents should notify Unmatched Coaching LTD as soon as possible if they wish to cancel.

Refund requests will be considered individually.

Any approved refund may be subject to:

• an administration charge;

• deduction for sessions already attended;

• deduction for costs already incurred.

Refund requests should normally be made no later than seven days before the programme begins.

6. Attendance

Regular attendance is encouraged.

No refund, credit or replacement session will normally be provided where a child misses a session due to:

• illness;

• holidays;

• family commitments;

• forgetting to attend;

• choosing not to attend;

• school activities;

• school events;

• school cancellations;

• or any other absence outside the control of Unmatched Coaching LTD.

Exceptional circumstances may be considered entirely at the discretion of Unmatched Coaching LTD.

7. Safety, Supervision and Conduct

7.1 Clothing

Children must:

• wear suitable sports clothing;

• wear appropriate footwear;

• bring a drink to every session.

7.2 Jewellery

Children should not wear jewellery during physical activity.

Where earrings cannot be removed:

• they must be fully taped by the Parent/Guardian before arrival;

• Unmatched Coaching LTD will not provide tape;

• staff will not tape earrings.

Where earrings present a safety risk, Unmatched Coaching LTD reserves the right to refuse participation.

Parents accept full responsibility for any injury, damage or loss arising from earrings or jewellery worn during sessions.

7.3 Supervision

Responsibility transfers to Unmatched Coaching LTD only once:

• the session has officially started; and

• the child has been signed in by a member of staff.

Responsibility immediately transfers back to the Parent/Guardian once the session ends unless alternative arrangements have been agreed in writing.

7.4 Behaviour

Children are expected to:

• behave respectfully;

• follow staff instructions;

• treat others appropriately.

Where behaviour is unsafe, disruptive or abusive, Unmatched Coaching LTD reserves the right to remove a child immediately without refund.

8. Medical Information and Medication

Parents are responsible for ensuring all medical information remains accurate.

Where medication is required (including inhalers, EpiPens, insulin or prescribed medication), Parents must:

• hand medication directly to staff;

• ensure medication is clearly labelled;

• provide instructions for use.

Unmatched Coaching LTD does not:

• chase medication;

• collect medication;

• organise medication on behalf of families.

Failure to provide essential medication may result in refusal of participation.

9. Walking Home

Written parental consent is required before a child may leave independently.

Once a child has left the session, responsibility immediately transfers back to the Parent/Guardian.

Children without written permission must be collected by an authorised adult.

10. Photography and Videography

Photographs or videos may occasionally be taken for promotional purposes.

Parents may withdraw consent at any time by notifying Unmatched Coaching LTD in writing.

11. Liability

Whilst every reasonable care is taken, participation in physical activity carries an inherent risk.

Unmatched Coaching LTD shall not be liable for:

• accidental injury arising from normal participation;

• loss or damage to personal belongings;

• costs arising from school cancellations;

• travel expenses;

• alternative childcare costs;

• indirect or consequential losses.

Nothing within these Terms excludes liability where prohibited by law.

12. Data Protection

Information supplied by Parents may be used to create an online booking account where necessary.

Parents authorise Unmatched Coaching LTD to:

• create an online account;

• store booking information;

• communicate regarding bookings;

• link future bookings to existing records.

Personal information will only be used for programme administration, safeguarding, legal obligations and communication.

Parents may request access, correction or deletion of their information by contacting contact@unmatchedcoaching.com.

13. Communication

Programme updates may be sent by:

• email;

• SMS;

• telephone.

Parents are responsible for ensuring their contact details remain accurate.

Failure to read communications does not remove responsibility under these Terms.

14. Governing Law

These Terms are governed by the laws of England and Wales.

15. Force Majeure

Unmatched Coaching LTD shall not be liable for any failure or delay in performing its obligations where such failure results from events beyond its reasonable control, including but not limited to:

• severe weather;

• pandemics;

• government restrictions;

• public emergencies;

• transport disruption;

• utility failures;

• venue closures;

• acts of God.

16. School Operational Decisions

Parents acknowledge that all school-based clubs operate with the permission of the host school.

Where the school requires a session to be:

• cancelled;

• postponed;

• relocated;

• shortened;

• amended; or

• permanently withdrawn,

Unmatched Coaching LTD shall not be responsible for compensating Parents for any resulting inconvenience or loss.

Where reasonably practicable, Unmatched Coaching LTD may offer a replacement session or account credit but is under no obligation to do so.

17. Severability

If any provision of these Terms is found to be unenforceable, the remaining provisions shall remain in full force and effect.

18. Entire Agreement

These Terms constitute the entire agreement between Parents/Guardians and Unmatched Coaching LTD and supersede all previous agreements.

19. Amendments

Unmatched Coaching LTD reserves the right to amend these Terms and Conditions at any time.

The latest version will always apply to future bookings.

Continued participation following publication of revised Terms constitutes acceptance of those Terms.

20. Non-Payment Policy

Failure to pay by the stated deadline will result in cancellation of the booking.

Cancelled places may only be reinstated:

• once all outstanding fees have been paid; and

• where places remain available.

Children whose booking has been cancelled due to non-payment will not be admitted to sessions.

Parents/Guardians remain responsible for arranging suitable childcare or collection where a booking has been cancelled due to unpaid fees.
